What is Groupwise?

 

Groupwise is the email system that has been approved for secure email communication by UMHS.  Groupwise provides email, calendaring, instant messaging, and other features in a secure, HIPPA-compliant, manner.

Who is MCIT?

 

The Medical Center Information Technology (MCIT) group is the organization responsible for hospital computing and Groupwise-related problems. Some of your interactions with MCIT may involve resetting level-2 passwords or Careweb access. The MCIT Help Desk can be reached by phone at 936-8000.

How to access your Groupwise E-Mail

 

There are multiple methods to access your Groupwise Email.  Listed below are the most common methods.

Web

Use any computer, PDA, or Smartphone.

You can access your email via the web at http://mail.med.umich.edu

 

Groupwise Client Software

This is for PC’s and Mac’s only. Currently there is no PDA or Smartphone client by Novell.

PLEASE NOTE: MCIT does not support Macs and may not be able to help you if you are having problems connecting the client to your Groupwise account.

 

Accessing Groupwise From Other Email Clients

Email clients such as Thunderbird, Outlook, PDA and Smartphone software clients – not web browsers - can be used.


Groupwise email can be read by other software clients.*  There have been mixed results with accessing email from devices like PDA’s and Smartphones. The UMHS-Wireless network  is filtered to not allow PDAs and laptops to send/receive email.  Only web browser traffic is allowed, so within the UMHS-Wireless network, it’s best to use the web address http://mail.med.umich.edu on devices.

Groupwise Servers can work with IMAP software clients that are not Groupwise like Microsoft Outlook, Mozilla Thunderbird, and client software that is found on PDA’s and Smartphones. Please look at your device manual for detailed instructions on configuration. All IMAP clients are different, but they have common requirements:

• Username is your uniqname

• Password is your Groupwise Password

• Email address is your email address@med.umich.edu

• Incoming email server: mail.med.umich.edu

• Outgoing email server: mail.med.umich.edu

• Email server type is POP3 (IMAP also can work but we are told is inconsistent)

• There is no encryption configured on either incoming or outgoing servers*

• Outgoing email server requires your username/password (aka: authenticated smtp)

We have found that for unknown reasons this may not work.  Two similar devices (laptops/PDA), configure exactly the same, can have one work and one not. You can come to the LRC Help Desk ( or email lrc_help@umich.edu ) for further assistance. We will give it our best effort, but cannot guarantee we can get it to work.

* The Groupwise client is the preferred and secure method of accessing email, calendaring, and other features. Other clients may not meet HIPPA guidelines.  By using another email application to read emails sent through Groupwise you are taking them from a secure, HIPPA-approved environment and using it in a unsecured environment. Under HIPPA regulations you are responsible for email privacy and security.

Changing Your Groupwise/Level-2 Password

 

You will need to change your password once a year. Prior to your password expiring you will receive multiple e-mail notifications to change your password.

From a Med Campus Computer

To change you password go to the following web site from a med campus computer:

From Off Campus or by Phone

Call the MCIT Help Desk at (734) 936-8000.

 

Expired Passwords

If you do not change your password by the expiration date you will need to contact the MCIT Help Desk at 936-8000 and ask them to reset your password. This can nolonger be done online

Forwarding Mail From Your "@umich.edu" Account to Your Groupwise E-mail Account

 

By default all students are given the Basic Computing Package from central campus. This includes an "@umich.edu" e-mail account (refered to as ITCS IMAP Mail ).

As a Medical student, you are required to the Hospital's email system which is called Groupwise ( @med.umich.edu ). You can have all e-mail that would normally be sent to your "@umich.edu" e-mail account automatically forwarded over to your Groupwise account.

Click on the link below for instructions to forward mail and set up your account so that mail sent to "uniqname@umich.edu" will be sent to your official Medical School email account at "uniqname@med.umich.edu".

Forwarding or Redirecting Your E-Mail Using the U-M Online Directory Via the Web

After 90 days of inactivity, your "@UMICH.EDU" IMAP mailbox will be automatically deleted. If you wish to have your IMAP mailbox deleted before that time, call the ITCS Accounts Office at 764-HELP. Tell them you are a Medical student and you wish to disable your IMAP account because you have Groupwise email. They will take care of the rest.
